Osun State Polytechnic, Iree Releases Guidelines for Mobile Computer-Based Examinations

The management of Osun State Polytechnic, Iree has issued official guidelines for students, lecturers, and invigilators ahead of the upcoming semester Computer-Based Examinations (CBE), which will be conducted using mobile devices.
According to the institution, all participants are required to download and install the Xerxes SIEMS application, which will serve as the official platform for the examination process. The app is available on both Android and iOS devices through their respective app stores.
Users are expected to install or update the application and grant all required permissions. After installation, students must log in using credentials sent via Xerxes email notifications. Upon successful login, students are required to complete biometric facial registration, register their semester courses, and print their examination slip.
For each examination, students must generate a unique QR code corresponding to the course code. Invigilators will scan these QR codes to produce a device-specific six-digit CBE access PIN, which will be sent as a notification to the student’s device. The PIN, which expires within two minutes, is automatically copied to the device clipboard.
Students are then expected to close the QR code interface, proceed to the “Load Examination” menu, and input or paste the PIN to access and download their examination questions. Invigilators will also utilize the QR code scanning feature to detect and prevent impersonation during the examination.
Additionally, students can access their CBE access PINs and submission feedback through the system messages menu within the application.
The institution emphasized that all eligible students must familiarize themselves with the app before the examination date and seek assistance where necessary. Designated venues equipped for secure mobile-based examinations will be made available on campus.
Strict compliance rules have also been outlined. Only one mobile phone or tablet is permitted per student, while all other smart devices or unauthorized gadgets are strictly prohibited. Any prohibited items found within the examination venue will be confiscated and destroyed.
The management further noted that examinations may be rescheduled in the event of prolonged server or network failure exceeding one hour.
Students whose facial registration fails to match or raises suspicion during or after the examination will be reported to the Students’ Examination Disciplinary Committee for further action.
Students are strongly advised to adhere to all instructions to ensure a smooth and successful examination process.
