How to Write a Successful SIWES Report for ND and HND

The Student Industrial Work Experience Scheme (SIWES) is an essential part of National Diploma (ND) and Higher National Diploma (HND) programs in Nigeria. After completing the industrial training, students must submit a report detailing their experiences, tasks performed, and lessons learned during the program.

A well-written SIWES report can boost a student’s chances of getting good grades, as it carries marks that contribute to the final results. Many students struggle with structuring their reports properly, which can lead to loss of marks. This article provides detailed steps on how to prepare a good SIWES report that meets the expectations of lecturers and supervisors.

1. Follow the Approved Format

Most polytechnics and universities have a format for writing SIWES reports. It is important to get a copy of the approved format from your department or SIWES coordinator before starting. The format usually includes:

  • Title page
  • Dedication
  • Acknowledgment
  • Abstract
  • Table of contents
  • Chapter One: Introduction
  • Chapter Two: Description of the Organization
  • Chapter Three: Industrial Training Activities
  • Chapter Four: Problems Encountered and Solutions
  • Chapter Five: Conclusion and Recommendations
  • References
  • Appendices (if applicable)

Sticking to this format will ensure your report looks professional and meets academic requirements.

2. Create a Well-Designed Title Page

The title page is the first thing your supervisor will see. It should contain the following:

  • The name of your institution
  • The title of the report (e.g., A Report on the Student Industrial Work Experience Scheme at XYZ Company)
  • Your name and matriculation number
  • Your department and course of study
  • The name of the organization where you had your SIWES
  • The date of submission

Ensure that all information is correctly spelled and well-arranged.

3. Write a Good Dedication and Acknowledgment

  • Dedication: This section is optional, but if included, it should be brief. You can dedicate the report to God, your parents, mentors, or anyone who inspired you.
  • Acknowledgment: Here, you appreciate those who helped you during the training. Mention your industrial supervisor, school supervisor, lecturers, parents, and any other individual who contributed to your success.

4. Summarize Your Work in the Abstract

The abstract gives a summary of the entire report. It should be one paragraph, about 100–200 words long. It should briefly state:

  • Where you did your SIWES
  • The tasks you performed
  • The skills you acquired
  • The challenges you faced
  • The overall outcome of the training

Since this is a summary, it is best to write it after completing the rest of the report.

5. Prepare a Clear Table of Contents

The table of contents helps readers locate different sections of your report easily. Use appropriate headings and subheadings, with correct page numbers. Formatting tools in Microsoft Word, such as the “Table of Contents” feature, can make this task easier.

6. Write a Strong Introduction (Chapter One)

The introduction should give a general idea of what your SIWES report is about. You can structure it as follows:

  • Background: Explain what SIWES is and why it is important for students.
  • Objectives: List the aims of undergoing industrial training. Some common objectives include:
    • Gaining practical experience
    • Learning industry standards and work ethics
    • Bridging the gap between classroom knowledge and real-world application
  • Scope of Training: Briefly mention the organization you worked with and the department you were attached to.

Make sure this section is simple and straight to the point.

7. Describe the Organization (Chapter Two)

This chapter should contain details about the company where you had your training. Include:

  • Company Name and Location
  • History and Background – A brief history of how the organization was established.
  • Objectives and Mission Statement – If available, include the company’s mission, vision, and goals.
  • Organizational Structure – Explain the different departments and where you were assigned. You can use an organizational chart if necessary.
  • Services or Products – Describe the type of work the company does and the goods or services they provide.

This section shows that you understand the environment where you had your training.

8. Explain Your Industrial Training Activities (Chapter Three)

This is the most important part of your report, as it explains the tasks you performed during the training. Write in detail about:

  • The department(s) you worked in
  • The projects or assignments you handled
  • The equipment, tools, or software you used
  • The procedures and techniques you learned
  • The challenges you faced and how you handled them

For better clarity, present this section in a chronological order, listing activities week by week. If you worked on any major projects, describe them with step-by-step explanations and include pictures if allowed.

9. Discuss Problems Encountered and Solutions (Chapter Four)

No industrial training is without challenges. In this section, discuss:

  • The difficulties you faced during the training
  • How these problems affected your work
  • The steps you took to overcome them
  • Lessons learned from these experiences

This section shows your ability to adapt and solve problems in a work environment.

10. Write a Conclusion and Recommendations (Chapter Five)

In this final chapter, you should:

  • Summarize Your Experience: Give a brief overview of your time during SIWES, highlighting what you learned.
  • State Whether Your Objectives Were Met: Reflect on whether the training helped you achieve your initial goals.
  • Give Recommendations: Suggest ways the company or SIWES program can be improved. You can also advise future students on how to get the best out of their training.

11. Include References and Appendices

  • References: If you cited any books, journals, or company documents in your report, list them in this section using the correct citation format.
  • Appendices: This section contains additional information such as pictures, charts, company documents, or certificates obtained during training. If you used images, ensure they are relevant and well-labeled.

12. Proofread and Format Properly

A well-structured report with correct grammar and formatting creates a good impression. Before submitting:

  • Read through your work to check for spelling and grammatical errors.
  • Ensure your report follows the approved format.
  • Use clear fonts like Times New Roman or Arial, size 12, and maintain proper spacing (1.5 or double spacing).
  • Number all pages correctly.
  • Bind or neatly compile your report for submission.
